Manager, Production and Finance Posting open 7/3/19 – 7/10/19
Carrollwood Players Theatre seeks the services of an independent contractor to provide part-time professional services as Manager, Production and Finance.
The position of Manager, Production and Finance (MPF) is selected by and reports to the Board of Trustees (BOT), working closely with the Managing Director (MD).
The Manager, Production and Finance is responsible for the following:
Oversight of Producers
The MPF is responsible for oversight of all volunteer Producers and the overall
production process for all Carrollwood Players productions.
The MPF will ensure Producers are fulfilling all standard Carrollwood Players Producer responsibilities in a timely and effective manner, and will provide training, coaching, and guidance as necessary.
The Carrollwood Players Producer Checklist will serve as the standard procedural
guideline used by the MPF to ensure all Producer tasks and deadlines are completed properly. The MPF manages the Producer Checklist, and has the authority to amend it as a “living document” to ensure best practices.
Oversight of Technical Production Quality
The MPF is responsible for ensuring the highest technical quality possible for all
Carrollwood Players Productions.
The MPF has the authority to advise and supervise Producers to ensure minimum quality standards and timelines are met.
Areas of technical production quality the MPF will provide oversight of are:
Set Construction and Decor
Lighting Design
Sound Design
Costumes
Props
Oversight Methods:
The MPF is responsible for carrying out his or her production related duties in a manner that weighs quality and success on multiple factors, including overall excellence, the volunteer and audience experience, and the importance of financial success for each production.
To accomplish these goals, the MPF will have the authority to:
● Monitor production related timelines and coach Producers as needed
● Attend production meetings as needed
● Participate in online production and cast/crew groups as needed
● Visit set build days, set dress days, and technical and dress rehearsals as
needed to monitor production quality.
● Meet one-on-one with Producers to ensure any potential problems are mitigated
as early as possible
● Attend meetings of the Producing Artistic Council as needed.
Volunteer Relations
The MPF will work with the MD to screen and nominate candidates wishing to join the Producing Artistic Council, and will also assist Producers in locating and securing production team volunteers as needed.
Programming
The MPF will serve on the approval panel for annual programming. If the Producing Artistic Council and/or approval panel are unable to recommend or approve programming by the established deadlines, the MPF will work with the Managing Director to select and finalize annual programming for Carrollwood Players Theatre.
Director Selection
The MPF will serve on the approval panel for director selection. If the Producing Artistic Council and/or approval panel are unable to recommend or approve directors by the established deadlines, the MPF will work with the Managing Director to select and finalize directors for Carrollwood Players Theatre.
Production Surveys
The MPF will create, issue, and collect post-production surveys following each
Carrollwood Players production, to include a survey of the cast and crew, the Stage Manager, the Director, and the Producers. The MPF will share survey results with the MD and the Producing Artistic Council.
Finance Operations
The MPF will manage the day-to-day finance operations of Carrollwood Players
Theatre. The MPF may enlist the aid of the BOT Treasurer to ensure timely
management of certain responsibilities.
Responsibilities will include:
● All Payables and Receivables
● Banking, Deposits, and Petty Cash
● Bookkeeping and Financial Records
● Tax Filings and Other State and Federal Reporting
● Preparation and Presentation of Reports for the BOT
● Working with Managing Director to prepare an annual budget for BOT approval
● Working with the BOT Treasurer to provide all necessary records and information for the completion of an annual independent audit.
